If so, we want you to be a part of this team About the Role: We are on the lookout for a Lettings Team Administrator who is passionate about delivering exceptional customer service. This role offers an incredible opportunity to join a rapidly expanding business and play a pivotal role in coordinating consultants across our clients portfolio. This role is full time, 9am - 5:30pm, Monday - Friday, with 1 Saturday in 4 (given back in lieu) based in a Reading Town Centre office. This is a hybrid role, 4 days in office and 1 day WFH. Key Duties Include: Enquiry Management Respond promptly and professionally to incoming phone, email, and in-person enquiries. Provide accurate information about available properties, tenancy terms, and application processes. Viewing Arrangements Schedule property viewings with potential tenants. Coordinate availability between consultants and tenants. Ensure all necessary property keys and access arrangements are in place. Consultant Communication Act as the primary point of contact between consultants and the lettings team. Provide updates on enquiries, feedback from viewings, and progress of tenancy agreements. Prepare and distribute necessary documentation for consultants. Administrative Support Maintain and update property management databases and CRM systems. Prepare tenancy agreements, reference checks, and other documentation. Ensure compliance with relevant legislation, such as safety certificates and tenant rights. Project Coordination Oversee and coordinate lettings projects, such as property launches or promotions. Track project timelines and report progress to the lettings manager. Reporting and Record Keeping Keep detailed records of all enquiries, viewings, and tenancy processes. Prepare regular reports on key performance indicators, such as let rates and enquiry conversions. Customer Service Provide excellent customer service to tenants, ensuring their needs are met. Handle complaints or issues promptly and escalate when necessary. Team Collaboration Work closely with other team members to ensure smooth lettings operations. Attend team meetings and contribute to strategic planning discussions.
